Using the Admin Section

What’s the Admin section?
When you log-in and are a local county coordinator, you will be given special permission to view all the observers in your county along with their contact info and other information about each station. We ask that this information be kept confidential. You will also be able to enter data for other observers and edit data that is incorrect. The purpose of this section is to make it easy for you to keep track of the volunteers in your area to better serve and assist them.

Where do I find it?
Across the top panel of the Web page you will see the following choices:

My Data l My Account l Admin l Logout

You will want to click on “Admin”. That will get you to the Admin page.

I’m on the Admin page . . . Now what?
Once you are on the admin page you can do many things.

Here are some examples:

Enter New Reports
You may enter new reports for other stations than your own. Click on which type of report that you would like to enter

  • Daily Precipitation
  • Hail
  • Significant Weather
  • Multi-Day Accumulation
  • Monthly Zeros

Once the new screen comes up, just type in the station number (ex- CO-NO-274) and then enter the information. Hit submit and the report will be entered for that station.

List/Edit Reports
Under this function, you may search a list of reports for the following categories:

  • Daily Precipitation
  • Hail
  • Signicant Weather
  • Multi-Day Accumulation

Click on the report you would like to view or edit. Now you can narrow down the information by filling in the information in the top box. To view an individual report click on the magnifying glass icon. To edit an individual report click on the pencil icon. You may also sort the list by a specific category by clicking on the subject head in the blue area at the top of the list. When you edit a report, always leave a note in “Observer Notes” with your initials, the date of the edit, the change that you made, the reason for the change, and if the observer was contacted about the change. We may eventually have a separate area for these edit remarks, but it is very important that we document changes to original entries.

Manage Observers
Under this function, you will be able to manage the observers in your county coordinating area. You have two options here:

  • List Observers
  • Add Observer

One is “List Observers”. You can type in the observers name and then use the pull down menus to find your state and county. If you would like a list of all of the observers in your county, leave the name section blank. You may sort the list of observers by clicking on a subject head in the blue are at the top of the list. To view an individual user information click on the magnifying glass icon. Please remember that this information is confidential and we entrust you as local coordinators to honor this promise to the observer. This function is handy in that will allow you to see if an observer has more than one station site that they are reporting for in your area (large farm, etc.) The other is “Add Observer”. This is just like the “Join CoCoRaHS” form on the homepage. You can sign an up a new observer by using this function. This may be handy if someone in your county wants to sign up, but does not have immediate access to the internet.

Manage Stations
The last function under the Admin section is “Manage Stations”. Here you will be able to generate a list of stations in your specific area. Very similar to “List Observers”, the list stations function will allow you to look up observers by station number and provides detailed information about each station listed. Again click on the magnifying glass icon to see station detail. As mentioned in the prior section please remember that observer information is confidential and we entrust you as local coordinators to honor this promise to the observer. This function is handy in that will allow you to see whether a station is active or not.

Give it a try!
We hope you will give all of these functions a try. Most people learn by doing. Feel free to contact us or your state coordinator if you have any questions. If you have trouble logging in, please let us know right away.
